AI empowered Data input in Tally Prime 7 – Docs by IRA

Docs by Ira – Introduction

Docs by Ira (part of the TallyIra AI suite) is an AI-powered invoice processor. It allows to scan or upload supplier invoices (via mobile app, WhatsApp, or Gmail) and automatically extracts key data—such as Party Name, Invoice Number, Amount, and GST—to create accounting-ready drafts in TallyPrime.

How Docs by Ira Works

  • Intelligent Data Extraction: The AI reads PDFs, scanned copies, and images to automatically extract critical invoice information.
  • Draft Auto-Creation: Extracted data goes directly to TallyPrime in draft mode, reducing manual operation time by up to 80%.
  • Review and Approve: The draft is reviewed and verified. The approved entries are pushed into Tally Prime with a single click, before officially posting them into books.

  • Monitoring Status: Track the progress of imports by viewing File Import Summary (press F6 in the Draft Transactions report) to see files successfully processed / failed.
  • Duplicate Detection: If same document twice, TallyPrime will flag it as Potential Duplicate in the draft report to prevent redundant entries.

Exception Handling and Master Mapping

In Docs by Ira, exception handling and master mapping are critical steps are performed  in Draft Transactions report, before data are posted into books.

Exception Handling & Mapping – Key Points

  • The Draft Stage: Documents imported via computer or mobile app do not immediately update  company data, but held in the Draft Transactions report for review.
  • Visual Indicators: Exceptions requiring attention are clearly marked with red markers or icons against the transaction,
  • Smart Mapping Logic: TallyPrime prioritizes matching party ledgers by GSTIN/UIN and stock items by Part Number. If these are unavailable, it searches for an exact name match.
  • Learning Capability: The system remembers corrections made. Once a specific extracted name is mapped to a ledger or item, Docs by Ira automatically applies that mapping to all future invoices from that supplier.
  • Duplicate Detection: The system automatically identifies potential duplicates, preventing redundant entries in books.

Working Steps for Resolving Exceptions

Step 1: Review Draft Transactions Report

  • Go to Alt+O (Import) > Transactions > Draft Transactions
  • Review the Action Required column to see which transactions have mismatches or missing masters.

Step 2: Map or Create Masters

  • Individual Resolution: Drill down into transaction with red marker, If a master is missing, select Create New to generate the Master, using the extracted values.
  • Mapping to Existing: If the master exists under a different name, select the proper Master to link.
  • Bulk Mapping: Select multiple transactions in the report and use the Update Mapping button to assign masters or accounting ledgers to several entries in one shot.

Step 3: Handle Accounting & Date Exceptions

  • Common Accounting Ledger: If several imported documents (like multiple purchase invoices) belong to the same accounting ledger, select all of them and Assign Common Accounting Ledger to resolve them in bulk.
  • Date Mismatch: If an invoice date falls outside current Tally period, use Set Date or Bulk Date Change option to change Date,
  • Voucher Total Mismatch: Where the total doesn’t match the sum of line items (often due to round-offs), open the voucher and press Ctrl+A to save. TallyPrime will recalculate the totals based on the extracted line Item values

Step 4: Final Validation and Conversion

  • Once all exceptions are resolved, the status of the transactions will change to Ready to Convert.
  • Select the desired entries and press F10 (Save Vouchers) to formally record them in company data.
  • To review, edit, or delete any of these saved connections later, access the Master Mapping Report,

Posting Vouchers to Books

Posting vouchers to the books is the final stage of the Docs by Ira workflow, from draft entries recorded in company data after being reviewed and validated.

Key Points of Posting Vouchers

  • No Automatic Posting: Docs by Ira does not automatically post entries to books. Every transaction requires human review and approval, to ensure accuracy.
  • Draft Transactions Stage: All imported or scanned documents are first held in the Draft Transactions report and do not impact financial statements until they are saved as vouchers.
  • Ready to Convert Status: A transaction can only be posted once its status changes to “Ready to Convert,” meaning all master mapping, date mismatches, and other exceptions have been resolved.
  • Control and Accuracy: This final step aims to maintain complete control over what gets posted, ensuring reliable accounting outcomes.

Working Steps for Voucher Postings

Step 1: Access the Draft Transactions Report

  • Go to Alt+O (Import) > Transactions > Draft Transactions.
  • Review the transactions listed under the Ready to Convert section.

Step 2: Verify Extracted Values (Highly Recommended)

  • Cross-check that the AI has correctly extracted the Invoice Number, Date, Party Name, Item Details, and Amounts.

Step 3: Save Vouchers (Individual or Bulk)

  • Individual Posting: Drill down into a specific transaction from the report. In the voucher entry screen, review the details and press Ctrl+A to save the individual voucher.
  • Bulk Posting: From the Draft Transactions report, select the transactions to be posted (use Spacebar to select multiple entries) and press F10 (Save Vouchers).

Step 4: Final Verification in Day Book

  • Once the “Vouchers Saved Successfully” message appears, navigate to the Day Book or the relevant Voucher Register.
  • Confirm that the transactions are now visible as regular vouchers in books.
  • Once voucher becomes part of the books, the original imported file can no longer be viewed from the Draft Transactions report, though it remains accessible from the specific Voucher Creation screen if needed.

Critical Working Problems and Resolution

How to resolve  Voucher Total Mismatch error?

Open the specific voucher from the draft report and press Ctrl+A to save it. This action causes TallyPrime to recalculate the vouchertotal based on the extracted line-item values, which typically resolves the mismatch automatically.

  • Cause of Mismatch: This may happen when round-off ledger is missing, blank, or not explicitly mentioned in the original invoice. Since Docs by Ira extracts values exactly as they appear on the document, the absence of a round-off entry may lead to a difference between the sum of line items and the total amount.
  • Manual Adjustments: While the voucher is open, add or adjust the round-off ledger manually during the voucher creation process to align the totals.
  • Identification: Errors are highlighted in the Remarks column of the Draft Transactionsreport, to identify offending transactions requiring correction.

How to change a transaction date in bulk?

Steps to Change Dates in Bulk

  • Open the Report: Navigate to Alt+O (Import)> Transactions>Draft Transactions.
  • Select Transactions: Use Spacebarto select multiple transactions that require a date change.
  • Use the Set Date Option: Click the Set Date button (or use the designated shortcut/menu item) within the report.
  • Assign New Date: Enter the specific date on which you want these vouchers to be posted in your books.

This bulk action is typically used to resolve a Date Mismatch exception. This occurs when the date extracted by the AI from the original invoice does not align with the Current Period set in TallyPrime company data. By setting a new date in bulk, Date of all selected transactions are may be set in one shot, without opening them individually.

How does AI handle data extraction from poor quality or blurred invoices?

Docs by Ira utilizes artificial intelligence to read and extract data from invoices, but its performance is dependent on the quality of the document provided. In poor quality or blurred invoices, the extraction process causes inaccuracy or incomplete data in data extraction.

Human Intervention and Correction

Because the AI may struggle with poor-quality documents, the workflow is designed with a “human-in-the-loop” approach:

  • Draft Transactions Report: Every imported document, regardless of quality, first enters the Draft Transactions report. This allows to review the extracted data side-by-side with the original document.
  • Exception Highlighting: If the AI fails to extract data accurately due to blurriness, TallyPrime identifies these as exceptions. Manually fill in the missing fields or correct misinterpreted values before finalizing the voucher.

Smart Mapping as a Mitigation Strategy

  • Remembering Corrections: If AI misreads an item name due to layout or quality issues and you manually map it to the correct master in TallyPrime, the system remembers this mapping. This ensures that even if future invoices from the same supplier have similar quality issues, the system can use the saved mapping to identify the correct ledger or item.

Recommendations for Better Results

To ensure the AI extracts data effectively, avoiding:

  • Blurred or low-resolution scans.
  • Text overlapping with watermarks, logos, or stamps.
  • Invoices with very light or unclear printing.

In summary, the AI does not have a “special” way to fix blurriness. Instead, it extracts what it can and relies on the user to review and resolve any inaccuracies in the Draft Transactions stage before the data is posted to the books.

Operational Trouble Shooting and Solutions

I. Registration and Initial Activation Errors

Q: Docs by Ira plug-in show a “Not Loaded” status after installation
A: This may occur if TallyPrime is not updated to Release 7.1 or later, or if TSS subscription has expired. To resolve this, renew TSS and upgrade to the latest Tally release.

Q: The error “Your mobile number is not registered” appears at login.

A: It indicates mobile number is not yet linked to the company in TallyPrime. Go toAlt+K (Company) > Securityand enter the correct mobile number at ‘Mobile Number for TallyIra Access’ field.

Q: How to resolve a “Memory Access Violation (MAV)” error during document upload?
A: This is often a temporary system or application issue. Restart TallyPrime, If it persists, restart computer and use Autofill method, instead of bulk import.

II. Mobile App and Connectivity Troubleshooting

Q: OTP not received for the TallyIra mobile app
A: Ensure the mobile number is active, correctly entered, and is an Indian number (international numbers not supported). Additionally, try disabling Wi-Fi and use mobile data for the initial login, as the app uses the mobile network to validate the phone number.

Q: Companies showing as “Offline” or not appearing in the TallyIra app
A: Only those Companies appear in the app that are currently open in TallyPrime on desktop. If they still don’t appear, confirm that the Admin has granted “Allow TallyIra Access” in Users and Passwords.

III. Document Extraction and Formatting Issues

Q: AI extract some items only from an invoice (Partial Extraction)
A: This may happen in a complex, tightly packed Invoice layout, or with poor image quality (blurry or low-resolution). Ger a clear scan with well-aligned Item lines.

Q: How to resolve where Item description is merged into the Item Name?
A: This happens when suppliers use Invoice in their own format. Resolve this by using Master Mapping in the Draft Transactions report.  Once the item is correctly mapped, the system will recognise it in all future invoices from that supplier, and map properly.

Q: A ledger account (like freight or packing charges) is incorrectly extracted as a stock item?
A: This happens when such charges are listed along with the Items in the item table with quantity and rate columns, mimicking the charges as stock item. Manually correct these entries in  the draft voucher report, before saving.

IV. File Viewing and Connectivity Errors

Q: The “Show Imported File” option is not opening the document.
A: This occurs if the file was deleted from its original folder or if Adobe Reader is outdated. Try updating Adobe Reader or changing system’s default PDF opener to another application, then restart TallyPrime.

Q: Connectivity error when opening TallyPrime.
A: TallyPrime Port may be unavailable or blocked. Go to Tally settings and change the TallyPrime port to one that is free.

V. Post-Import and Quota Resolutions

Q: “Voucher Total Mismatch” error shown in draft report?
A: This is common when a round-off ledger is missing or blank on the invoice. Simply open the voucher and press Ctrl+A to save; TallyPrime will recalculate the totals and resolve the mismatch.

Q: Draft Transaction Report isn’t updating after an import.
A: Large bulk imports take time to process. Check the File Import Summary (F6) to see the real-time status of each file. If it appears stuck, use the Refresh Detail option in the report.

Q: “Quota Exhausted” message during import?
A: The allotted pages (e.g., the initial 100-page trial) is used up. log into the Tally Solutions portal, navigate to TallyIra Services, and purchase a top-up plan to continue.
