LucaGPT with TallyPrime – Operational workflow

Stage 1: Account Creation and Activation

  • Registration: Visit the registration page (e.g., https://app.lucagpt.ai/register) and fill in the required details. During onboarding, provide basic company information to tailor the experience.
  • Installation: Download the executable file via email or WhatsApp (In case of Windows protection popup, click “More info”followed by “Run anyway”to launch the installation wizard).
  • Login and Activation: Launch the desktop app and log in with necessary credentials (https://app.lucagpt.ai/login). Enter the Activation Key received in email to unlock full access.

Stage 2: Connecting to TallyPrime

  • Tally Preparation: Launch TallyPrime on computer.
  • Connectivity Configuration:  At Gateway of Tally, navigate to F1 (Help) > Settings > Connectivity > Client/Server Configuration. Set “TallyPrime acts as”to Both (Client & Server) and set the port number (default 9000).
  • Establishing the Link: Return to LucaGPT app, enter correct port number, and click “Connect to Tally”. Once connected, select active Tally company from the list and click “Connect with Company”.

Stage 3: Automated Invoice Processing

  • Uploading Documents: Navigate to the Purchase Invoice menu on the left side of the app. Click “Upload Invoice” and select up to five files (JPG, PNG, or PDF, max 5MB each).
  • Data Extraction: LucaGPT automatically extracts vendor details, line items, amounts, and GST information.
  • Master Mapping and Creation: If ledgers or stock items in the invoice do not exist in Tally, they will be highlighted in red. Click the “+” symbol next to the missing item to create the ledger or stock item directly through the app.

Note: While new party ledgers and stock items can be created here, Purchase Ledgers must be created in TallyPrime first, if they are not already present.

Stage 4: Validation and Synchronization

  • Final Sync: Once all missing masters are resolved and the data are verified against the original document, click the “Sync Now”button at the top-right corner.
  • Verification: A “Successfully Synced” message appears. Cross-check the entry in TallyPrime Daybook.

Stage 5: Ongoing Management (Chat and Mobile)

  • AI Chat Interface: Use natural language commands to create or update ledgers, groups, and stock items through conversation.
  • WhatsApp Integration: Connect LucaGPT with WhatsApp to manage Tally entries and view business reports remotely from any location.
