Stock Item Godown details entry in Inventory Voucher in Tally

Having created Godown Masters, while entering Stock Item transaction details in Voucher, you may enter Godown details alongwith.

Stock Item details entry in Voucher has been explained earlier. Here we explain the additional process of Godown Details entry at Stock Item allocation screen.

At  Voucher Entry (F-1A), on selection of Stock Items, you get Item Allocation screen, to enter Godownwise details of the stock Item transaction,  as follows:

  • Godown: At Godown column, select the Godown from the list of stockable Godowns.
  • Quantity:  At Quantity  column, Enter the Quantity of transaction of the Item for the Godown.
  • Godown Item Rate:  At Rate  column, enter the Rate (and Rate & Rate UoM at Per field)
  • Godown Item Value:  At Amount column, the computed value (Rate X Quantity) is shown, which you may change.

Having entered the Godown Masters and voucher data, you may now print various reports with Godown data, like:

Godown Summary shows the Summary of Transaction & Stock figures of Stock Items in Godowns

At Gateway of Tally, select  Display > Statements of Inventory > Godowns to get Godown Summary

Stock Item Godown  Summary Configuration in Tally

By default, the Godown Summary initially shows the Godowns under the selected Godown (Select Primary to show top level  Godowns) 

At Godown Summary, click F12:Configure to get the Godown Summary configuration screen to set up options  to configure the contents of the Report as follows :

i) Multi Column Options

 Set   Yes / No to the following options as required. Each option affects multiple set of columns (Opening / Inward / Outwards/ Closing)

  1. Quantity / Rate / Value : The following  columns appear for  Opening Balance, Goods Inwards,  Goods Outwards & Closing Balance . The option is applicable for all these columns, if activated (e.g if Yes is set at Show Quantity, Quantity column will appear  in the activated columns (Goods Inwards, Goods outwards &  Closing balance, and like that for  Rate & Value column) 
    • Quantity : At Show Quantities, set Yes to show the Quantity column (and the base unit) , Set No to suppress the Quantity column
    • Rate : At Show Rates,  set Yes to show the Rate column (as per the base UoM displayed with Quantity figure) , Set No to suppress the Rate column.
    • Value : At Show Values, set Yes to show the Value column , Set No to suppress the Value column
  2. Opening/  Inwards / Outwards / Closing:  Set Yes to show the figures for the respective  3 columns activated (Quantity, Rate, Value)
    • Opening  Balance: At Show  Opening  Balance, set Yes to show the figures of Opening Balance for the respective column activated ( Quantity, Rate, Value)
    • Goods Inwards : At Show Goods Inwards, set Yes to show the figures of Goods Inwards for the respective column activated ( Quantity, Rate, Value)
    • Goods Outwards: At Show Goods Outwards, set Yes to show the figures of Goods Outwards for the respective column activated ( Quantity,  Rate, Value)
    • Closing Balance : At Show Closing Balance, set Yes to show the figures of Closing balance  for the respective column activated ( Quantity, Rate, Value)

The values (Quantity, Rate, Amount) of  each of the column (Opening, Inwards, Outwards, Closing) are displayed according to the current period (referred as Report Period – set  through F2: period button) for the respective column:

ii) Set  Yes / No to the following options to show / suppress the columns as required

  • Stock Items : At Show All Items, set :
    • Yes to show the Item even if all the displayed  figures for the Item is  zero.
    • No  to suppress  the Items where the values of all the displayed column are zero.
  • Consumption & Gross Profit : At Show Consumption & Gross Profit Set :
    • Yes to show the Consumption Value & Gross Profit  figures also, for  Sales / Outwards column (explained next),
    • No. the Consumption  Value & Gross Profit columns are not shown.
  • Alternate Units : At Show using Alternate units, set
    • Yes to show the quantity also in Alternate units (for Items having Dual Units),
    • No to show the quantity only the Base Unit
  • Tail Units : At Show Tail units of Compound Units, set :
    • Yes to show Quantity in Tail units of Compound unit
    • No to show only in terms of Base (Major) unit (with fraction values, where applicable)
  • Detail Levels:  At  Expand all levels in Detailed Format, set Yes to show the Items upto the lowest level details (in detail mode- i.e, when F1: Detail is selected), otherwise only next level detail (Item Group / Stock Items) are shown in detail mode.

Godownwise Stock Item  Profitability / Contribution report in Tally

Godownwise Profitability report shows the Itemwise Contribution (Sale Amount – Cost ) against outward transaction (normally sales) for each Godown.

To get the gross profit details of Sale (shown in Outwards column : ,

  • At Godown Summary Configuration screen , set Yes at Show Consumption & Gross Profit., or
  • At Godown Summary buttons , Click  F7:Show Profit toggle button

Consequently, at Outwards section of Stock Summary,  in the consumption column , the following new columns appear :

  • Consumption : The computed cost of Goods sold / consumed  as per valuation method specified for the stock Item
  • Gross Profit : The gross profit , i.e the difference of value of consumption / sale is shown. If the cost is  more than the consumption / sale value, the profit is shown in negative.
  • Perc % : The percentage of gross profit on the consumption / sale value is shown (Gross Profit / Outwards Value) x 100

The Gross Profit & Perc % is shown only when Sale Value is entered in the voucher. If Cost data is not available, the Profit Percentage would be shown as 100% (as Cost is treated as Zero). So, this report is reliable only when correct and complete Sales & Cost Data are entered in respect of each transaction, otherwise the figures would be erroneous and misleading.

Godownwise Stock Item  Profitability / Contribution report in Tally

Godownwise Profitability report shows the Itemwise Contribution (Sale Amount – Cost ) against outward transaction (normally sales) for each Godown.

To get the gross profit details of Sale (shown in Outwards column :

  • At Godown Summary Configuration screen (F-3A), set Yes at Show Consumption & Gross Profit., or
  • At Godown Summary buttons (F-3B), Click  F7:Show Profit toggle button

Consequently, at Outwards section of Stock Summary,  in the consumption column , the following new columns appear :

  • Consumption : The computed cost of Goods sold / consumed  as per valuation method specified for the stock Item
  • Gross Profit : The gross profit , i.e the difference of value of consumption / sale is shown. If the cost is  more than the consumption / sale value, the profit is shown in negative.
  • Perc % : The percentage of gross profit on the consumption / sale value is shown (Gross Profit / Outwards Value) x 100

Stock Item Godown Details report in Tally

Initially, the report shows the Primary Godown  (with subordinate Godowns / Stock Items in detail format). On drill down from any Godown / Stock Item, the next level reports appear as follows :

  • From Godown: The  Stock Summary for the selected Godown  appears  showing  the next level  Godown  /  Stock Items
  • From Stock Items : The  Stock Item Monthly Summary  for the selected Stock Item appears  showing  the monthwise figures for each month for the current period.

Columnar Report creation as per defined new column  has been explained earlier. To get corresponding Godown Summary figures in adjacent columns for better comparison, at Godown Summary Report, click the columnar buttons as follows:

  • C: New Column : To create a new columns as per specified column definition, to get the corresponding figures in adjacent  columns for better comparison.
  • N: Auto Column : To create multiple columns (as per specified period frequency or for various Stock Valuation methods)

 At Godown Summary, click the columnar buttons as follows :

  • Single New Columns : Click C: New Column (F-3B) to create an adjacent new column,  to get corresponding figures  for better comparison (F-5A).  Set the column definition as follows (F-4A)
    • Another Company : At Name of Company, select a Company from the list of selected Company
    • Another Period: At  From & To field respectively, specify the Start & End Date of the report
    • Another Godown: At  Name of Godown field, select another Godown
    • Another Valuation Method :  At Method of Stock Valuation, select the Valuation Method. It is useful for comparison of consumption / stock values indifferent methods for management decisions (like price fixing / quotation, make buy decisions, stock value to be entered manually in Accounts, etc

This way you may create several adjacent new columns in any manner as desired.

New Column creation for Columnar Godown Summary

Automatic Multiple Columns :  Click N: Auto Column to get Auto Column set up screen to create repeating multiple columns. At Repeat Using, select  as follows from the list

  • Regular period interval : Select a Repeating period interval (e.g weekly, monthly, quarterly etc), to get  automatically created  columns for each period, showing  comparative periodical figures
  • Godown : Select Godown to get automated columns for each Godown.
  • Stock Valuation Methods : Select Stock Valuation Methods to get automated columns for each of the Stock Valuation Methods specified by Tally.

At Show Total Columns, set Yes to get a new Column for Totals of the corresponding figures of  all the Auto Columns created.
