Financial Accounts Queries Results in Tally

So far, we have discussed about various standard Reports. Apart from such laid out formatted reports, you may also need ad hoc information on various parameters provided by you, popularly known as Queries. Through Query, you get a quick shot info based on the specified Query Parameters.

Through Tally, you may get such ad hoc information 2 types of Queries:

  • Range Based Queries: At Display screens, click F12: Range button (Alt+F12)
  • Value Based Queries: At Display screens, click F12: Value button (Ctrl+F12)

We discuss about how you may get such info using these two buttons.

Financial Accounts Range Based Query Parameters in Tally

At Report Display screen, click F12: Range to get Query screen . Here, you get a series of drop down list of specified query conditions.  The sequence of lists for the can be query parameters may be presented as under:

Thus the Query pattern in case of single condition :-
<Type of Info> having <Particulars> <Range of Info> value (if any)

In case of multiple conditions :-
<Type of Info> having <Particulars> <Range of Info> value (if any) and/or
<Type of Info> having <Particulars> <Range of Info> value (if any) and/or (in case of further conditions) and so on ……. At Periodical Summary Reports (Group / Ledger) etc , F12:Range button is not available

At Type of Info column, according to the current display screen, select one of the following Data Tables from which the Query would extract the information:

  • Groups
  • Ledgers
  • Vouchers
  • Bills
  • Voucher Types

Depending on the Data Table selected, at  Particulars column, a list of valid Data Items appear to select from

Depending on the Query Particulars selected, at Range of Info column, a list of valid ranges appears at  to select from .

Having selected the Data Range also, finally, at Conditions column, select the Condition concatenation options from the list to execute single query or build up a multiple condition query.

Condition operator : At Condition column , after selecting the set of Query:

  • Single Condition Query : Select End of List to get the result set on the Single Query .
  • Multiple Condition Query : Select And / Or to specify more query conditions  to build up multiple condition query:
    – Exclusive Query: Select And to set up more Query conditions that must also be satisfied to get the Query result set (when you select AND, All the conditions must be satisfied )
    – Inclusive Query: Select Or to set up more Query conditions when any of the satisfied condition may produce the Query result set (when you select OR, Any of the conditions may be satisfied

The result set (specified data elements satisfying the query conditions) are displayed on screen

Financial Accounts Value Based Query Parameters in Tally

In Reports built from Voucher Data, normally All Vouchers are considered. Through Value Query, you may give filter parameters to set up conditions for extracting  the vouchers from a summary report, satisfying the query condition

Click F12: Value button to get the Value Filter specification screen. F12:Value button is not available  at  Day Book or Ledger Vouchers (as these are lowest level reports showing the individual vouchers, not summary of vouchers). Similarly, F12:Value button is not available for Master Lists (GoT>Display>List of Accounts)

Like Range filter, you get a screen to build up query. The query pattern is like:

Using Voucher having <Particulars> with <Particulars> <Condition>

At Having parameter , select the Item from Particulars list.

After selection of Item a Having Parameter, at with parameter , select the Item from Particulars list.

After selection of Item at With Parameter, select the Item from Particulars list .

Having selected the Data Items at all the parameters selection, finally, at Conditions column, select the Condition concatenation options from the list to execute single query or build up a multiple condition query, as explained earlier
