Inventory only Systemin Tally Accounting Software: However, Tally also offers exclusive Inventory system to record transaction related to Stock Items only, without affecting Financial Accounts System (i.e Quantitative transaction of Stock Item only, without corresponding monetary value). Such system may be useful for Inventory system in Warehouse etc.
Inventory Ordering Systemin Tally Accounting Software: Tally even maintains pre inventory level info, of Purchase and Sales Orders, for better control and management of Inventory system. Ordering system is the Integrated plan of Inventory transactions of Materials Purchase and Sales.
Inventory Accounts in Tally Accounting Software: Normally Inventory Accounts are tracked in respect of individual each Stock Item. However, tally offers further detail accounting of Stock in Batch ID and Godowns (Stock Item storage Locations), for better tracking of Items at more granular level. Such detail features are to be enabled at Company Level. The feature may be disabled later, and the Godown / Batch details would not more be available.
Data Input for Inventory System in Tally Accounting Software
Inventory data inputs may be broadly classified as Masters Inputs and Transactions Inputs (Vouchers).
Multiple pop up Forms in data Entry in Tally Accounting Software: In almost all data input forms (even in Master entry forms), data are to be entered in parts, traversing through and toggling between multiple Pop up screen. The pop up sub screens appears wiping the main screen, and gets wiped out after entry. So, you enter data in broken parts. In voucher entry like Orders, Delivery & Receipt Notes, Invoice, etc, you will pass through numerous partial pop up screens. The whole document will not be visible for at a glance review of all data entered for the whole entry. The Form is quite form from the printed output. So, Data entry is not intuitive.
Inventory Masters in Tally Accounting Software
Inventory Masters Data in Tally Accounting Software : Bulk of the Master entry is first time task at the time of start of the Accounting system. Later on, only new data or alteration of data is needed. Tally provides for individual Masters entry and alteration Forms, for single Master record, in which all details related to the Master may be entered. The Contents of each master entry form may be configured as per needs, for simpler and faster entry. Apart from Single Master entry, Tally also allows quick new master entry from within Voucher entry. Tally also provides centralised facility of all Masters operations like, Entry, Alter, Delete, etc, from Chart of Accounts (List of Masters). Apart from single record master entry form, Tally also provides multiple Master entry for bulk entry of Master or fast filling up specific info for Multiple masters at a time. For quick and correct data entry, Masters data elements may be copied from other places and pasted in individual element through clipboard. First time Inventory Masters data creation is voluminous. As explained at the beginning, you should plan data input for the activated Masters. Tally does not provide simple data input tools to map data of external sources (like XLS etc) and quickly input data elements. However, Tally offers ODBC features to facilitate such task. But it requires technical knowledge and expertise of ODBC. Tally also does not provide any standard Excel worksheet in which data may be entered and imported into to create bulk data base of Masters first time.
Unit of Measure in Tally Accounting Software : Stock Items are measured in Unit of Measure (like Pcs, Kg, Metre, Minutes, Sq cm, Cu cm etc). So, first create all UoMs to be used in the System for Stock Items measurement.
Stock Item in Tally Accounting Software : Create Stock Items to maintain complete record of transactions and stock in Hand. So, if you have an Item of different colour and like to maintain stock in respect of each colour, then you should create separate stock Item for each colour, even if the prices are same. So, you may create a single stock Item for all colours or separate stock Item or each colour, depending on how you like to maintain stock records. However, if the price are different for colour or size, you should maintain separate stock item for each colour / size. Every Stock item should have a specific Primary Unit of Measure. Through, in some exceptional cases of virtual stock items (like Service Items), Stock Items may be created without assigning any UoM. All receipts, issues and stock are maintained in the respective UoM. The UoM of an cannot be changed after voucher entry.
Multiple Alias Names of Stock Item in Tally Accounting Software : Even human are called by multiple names. People give favourite name as per their choice. Our Gods have hundreds of names. Tally respects multiple names of same Master. Stock Items may be allotted Multiple names and mnemonics and codes. So, apart from main Name, stock Items may be allotted multiple Alias names The Stock item may be uniquely identified with any of the multiple Alias Names. This feature allows selection of Item by organsiations own Item Code, unique Bin Number, Manufactures Code, Suppliers Code, etc. However, there is a flip point. Alias Names are listed in master selection list, making selection difficult and time consuming. So, if you use Alias names, create alias name pattern with distinct initial letters, to keep matching selection list smaller.
Stock Item Dual Unit of Measure in Tally Accounting Software : In some cases, a stock item may be measured in 2 units. One unit is Primary Unit and the other Unit is treated as Alternate Unit. For example, Nuts and Bolts may be expressed in count (pieces) as Primary Unit, and in Weight (e.g kg) as Alternate Unit. In such case, the 2 units must me related through a conversion factor to express Quantity in both units and convert quantity from one unit to another (e.g 1 kg = 12 pcs). The conversion factor must be fixed and cannot be changed later on.
Stock Item Compound Unit of Measure in Tally Accounting Software: Sometimes, a stock Item may be expressed in a compound unit composed of a larger and smaller unit. For example, a Strip of 10 Tablets, A Box of 12 Pencils etc. Like Alternate Unit, a relationship must be fixed between the 2 units for conversion purposes. Based on your system of trade and transaction, you should decide use of either Dual Unit or Compound Unit for such multi UoM Items.
Stock Item Group in Tally Accounting Software : Stock Item Groups are collection of similar kind Stock Items. Like Accounts Group, Stock Item Groups may be organised into multiple hierarchical level of Stock Groups, for better organisation and reporting. However, organisation dealing with few Similar Stock Items, (e.g Milk Seller, Paddy Seller) may not need to create Stock Groups. They may maintain Inventory records using Stock items only. So, creation of Stock group is optional. You may even create Stock groups ate later stage, at any time, organise the Stock Items, into Stock Groups. Similarly, you may change the parent Stock Group of any Stock item or Stock Group, at any time, for better organisation.
Stock Item Categories in Tally Accounting Software : Stock Item Group is the main classification of Stock Item. However, sometimes, you may need to classify an Stock Item into multiple parallel classification. For example, you may classify Book into Language, Publisher, Course, Subject etc., or you like to Classify Items as per Distributor, Manufacturer, etc. In such case, you may create Stock categories for each such attribute and link a stock Item into multiple Stock Categories. This helps to search and orgnaise Items into multiple ways. Implementation of Stock Item Category involves lot of planning and work. Organisation dealing with large number of Items of different kinds (like Super Bazar), may need Stock Item Categories. In most cases, proper organisation of Stock Item into multi level hierarchical groups would keep the system useful and simple.
Stock Control Item Categorisation in Tally Accounting Software: Organisation will maintain optimum stock level to avoid stock outs and keep sufficient Inventory level in hand to meet the planned requirements of materials. For this purpose, several basic controls like ABC anlaysis, etc. to categorise Stock Items based on Inventory value and consumption pattern. Tally does not offer nay such categorisation, but you may use Stock Category for this purpose to track Inventory as per your own categorisation with this objective.
Stock Item Cost Tracking in Tally Accounting Software: You may selectively enable Item Cost tracking to compute Item Cost, revenue & direct profit / contribution for each Stock Item. The trackable Expenses & Revenue Ledgers amounts in vouchers may to allocated / apportioned to Item Cost as per allocation rules.
- Stock Item Acquisition Cost in Tally Accounting Software: Item cost of purchased materials is captured from Purchase Invoice. Apart from Materials cost, additional charges in the Purchase Invoice may be allocated, apportioned, as per rule specified by user.
- Stock Item Additional Direct Cost in Tally Accounting Software: Apportioned amount of Additional expenses incurred in respect of transport, assembling, manufacturing, may be added through input by the user. Such cost get added to materials cost and reflected in all Inventory reports. Additional Cost may be arbitrarily added without supporting cost allocation or apportionment, inflating / undervaluing inventory value.
Stock Valuation Methods in Tally Accounting Software : Tally offers numerous standard Stock Valuation methods, commonly used by Industry. For each Stock Item, Stock Valuation Methods, may be set, from the specified Valuation methods provided by Tally. The Stock valuation may frequently be changed at the time generating Stock reports, Cost reports etc., as desired. The assigned method can be changed in Stock Item at any time. The stock reports are created as per currently set Stock Valuation method. The computation is done internally during report preparation. The reports do not reveal the valuation method applied. The stock reports may be easily manipulated by changing the valuation method, as valuation method may be selectively applied and changed to stock Items. Accounting standards restricts change of Stock Valuation while reporting Financial Reports. It dictates that same valuation method should be followed in Accounting Reports. In rare event of change of valuation method, the fact should be disclosed in Financial Reports. The Value based on previous method and the new method, and the effect on gain loss caused by change in valuation method be reported in Financial Statements. However, the system of changing stock valuation, its internal computation, may allow easy manipulation in Stock Value by internally changing the valuation method, yet hiding from the eyes of auditors.
Stock Item Godowns in Tally Accounting Software : Tally offers to maintain unlimited Godowns (uniquely storage location), to keep stock Items and track movements of stock and physical Balance in respect of each Godown. Tally provides for physical Godown where stock Items are physical stored. It also provides for virtual godown, for organisation of godowns in hierarchical structure. For example, you may define a Cup Board as virtual Godown and the Bins in the cupboard as physical godown. So, a Godown may be a warehouse, separate marked areas of an warehouse, or even Cup Boards, Bins etc. Godown helps to organise, store, locate and count Stock Items quickly. Tally allows to compute value of stocks in, out and closing stock, independently for each Godown. So, if same stock Item purchased at different rates at different time, are stored in different godown, and withdrawn from time to time, you may find the rate of stock for each Godown different, as Tally computes stock value independently for each godown, and not as total stock for an Item. There is no option to compute stock value considering thta a stock Item is same, irrespective of location. So, the valuation of same Stock Item may differ according to the timing of movement od stock Items in different godown.
Stock Item Batch in Tally Accounting Software: Stock Item Batch is further identification of specific physical Item of Stock. It helps to track Items of specified shelf life, serviceable Items for warranty, etc. Each Item or lot of items may be specified Mfg Date and Shelf life. Batch Number Batch ID) is related to specific stock Item. So, same Batch Number may be allotted to different Stock Items. Duplicate Same Batch Number should not be allotted within same Stock Item, even if the Mfg Date or shelf life is different. The concept of Batch may also be used for differentiating Prices as per Batch. Tally allows entry of Mfg Date and Expiry period for each Batch of each Stock Item, but does not allow entry of Expiry Date (which may be computed from Mfg Date and Expiry period). So, while selecting batches, only Mfg date is visible. Different Items have different shelf life. Even different Batch may have different Shelf life. But during sales, info about Expiry date is mor Important than Mfg date. For example, in case of medicines or food item, expired or soon to expire Items can not be sold. Expiry date, and expirable days may be optionally shown in Batch Reports. However, Batches expirable within a specified days (to track soon expirable Batches) is not available. Filtered or Exceptional Batch report, like Expired Baches, Mfg Date, Expiry Date, Negative Batches, etc. may be obtained for Batch tracking. The valuation of Stock is independently computed for each Batch. Batch feature, once enabled, may be disable for the entire Company (Batch details of all Stock Items would no more be available, or at Stock Item level (Batch details of specific Stock Items would no more be available). Stock Ageing Analysis provides user defined age analysis of Batchwise Stock of Items.
Unused Stock Item Master records in Tally Accounting Software : Sometimes Inventory Masters are carried from previous year, or from other Company data. In such case, some Inventory Masters may be redundant (no Opening Stock or Transaction in current year). Such redundant Items may be filtered through Exception report and deleted conveniently.
Non Moving / Slow Moving Items tracking in Tally Accounting Software : Some Items may be non moving, i.e no transaction for long time. Inventory carrying cost of stock items are high. So, the organisation needs to take extra care for purchase of such items, to avoid Through Movement Analysis report, you may track movement of Stock Item and find out Slow / Non Moving Items.

Stock Journal in Tally Accounting Software : Stock Journal is multi purpose materials movement voucher. It is normally used for internal adjustment of stock, like movement of materials between godowns, assembling, de-assembling, conversion of materials, adjustment for materials gains / losses, damage/ destruction. Spillage/ evaporation of materials, theft of materials, etc. Stock Journal is record of materials consumption details (causing reduction of stock of materials), and corresponding production of materials, where applicable, in respect of the materials consumed. For efficient Inventory management, separate Stock Journal Voucher types may be maintained for each type of transaction.
Stock Journal Voucher Class in Tally Accounting Software : Stock Journal Voucher Classes is a special type of Stock Journal Voucher used to facilitate transfers from one location (Godown) to another, for companies having multiple Stock Item Godowns.
Physical Stock Voucher in Tally Accounting Software : Often organisation make physical count / measurement of stock and compare with the Book Stock. This ensures that the stock ledger books are correctly maintained and materials as per stock books are physically available. However, some quantity may be found short, or some stock item may be missing. This may be due to various reasons. The management first should check the accuracy of Books, correct recording of Items and rectify the records. Then it should probe into the reason of loss. The difference in Book stock and Physical verification must be adjusted to bring the book stock in sync with physical stock. As per correct Accounting practice, such adjustment should be recorded in Stock Journal Voucher. But Tally has introduced a special voucher called physical stock voucher, in which the physical stock may be entered as memo in the fly, which may be altered any time. The physical stock voucher internally re-sets the stock as per physical stock voucher. This type of voucher may enable hidden and covert misappropriation of Stock by employee, and manipulation of Stock value by management. It is highly recommended to avoid Physical Stock Voucher and make Stock adjustment for physical stock difference through Stock Journal Voucher only.
Sales & Purchase Management in Tally Accounting Software
Active Client Profile in Tally Accounting Software : Tally maintains records of supplier or customer (called Active Parties), only after business dealing like sales or Purchase Order or on actual transaction of Sale / Purchase.
Prospective Inactive Client profile in Tally Accounting Software: Businessmen get info about Buyers and sellers in the market from different sources. Normally they keep note of such Parties, and refer to them in appropriate time for negotiation for business deals. However, Tally does not maintain organised records of prospective suppliers and buyers (Inactive Parties) of goods, with details of contacts, key person, reference, source of info, Items dealt with, Prices, other terms of business, trail of past correspondence with them, aides with search tool to find Parties based on any attribute, the foundation of business. Tally focus merely on recording of business happened, but not on business prospecting or business growth.

Regular consumption items are ordered at appropriate time, on reaching appropriate stock based on Re-order level, pending orders and expected consumption level, normally for re-order quantity.
- Materials Supplier Selection : The Itemwise past purchase report may help selection of supplier for new purchase order. Tally does not provide any vendor appraisal / performance report based on suppliers past history of materials delivery date extension, materials delivery delays, materials quality, materials rejections, materials returns, etc. Tally does not provide facilities to record details of Inactive prospective supplier. So, New supplier has to be selected by the Purchase officer based on his own method and knowledge.
- Supplier for Regular Consumption Items: For regular stock control items supplier selection is more crucial. Only a few suppliers are selected based n reputation, quality, timely supply etc. If the performance is good, repeat regular orders are placed. Suppliers not changed frequently.
- Supplier for Casual demanded Items: For casual Items, suppliers may be selected based on reputation, timely supply. Suppliers may be evaluated frequently on requirement.
- Sales Pre Order Activities: Sales system in Tally starts from Purchase Order only, i.e only after business deal). However, the real business is to get find customer and to make sales Orders at best business terms.
- Prospective Customers profile: Tally does not maintain any inactive customer profile with source of information, customer particulars of contact details, key persons, Stock Items dealt with, purchase pattern and volume, trail of past correspondence with them.
- Customer Appraisal : Tally provides sales info based on past sales transactions. But Tally does not provide Customer appraisal system based on past performance of gradual sales trend, market share, acceptance of materials, rejection of materials, return of materials, delayed payments, extension of payment due dates, etc
- Customer Prospecting : In respect of customer prospecting, i.e tuning a prospective buyer to real customer, Tally does not offer any system to initiate communication from Tally, which may be recorded in the customer profile. Even there is no system to keep Important notes of communication other info, till the prospective buyer turns into customer.
Tracking Number in Tally Accounting Software : Normally seller prepares Sales Invoice at the time of delivery of Goods. The Sales Invoice is a combined document for Inventory Accounting (movement of stock) as well as accounts for (Customer, Sales and other related accounts). These are normally linked later on with Accounting documents, like Sales Invoice & Delivery Notes, Purchase Invoice with Receipt Notes, Rejection Out with Debit Notes, Rejection In with Credit Notes. Cross linking of multiple documents may be made to square up such unlinked pending documents. Tracking Number, though apparently appealing and alluring, not recommended unless unavoidable. Tracking Number create lot of complexity in Accounting, and may cause serious errors in Accounts, unless supervised by expert knowledgeable person. Sometimes, organisation use these concepts to manipulate accounts (called creative Accounting), like Sales Invoice may be created at the end of Financial Year and Goods delivered in subsequent Financial Year (or Invoice cancelled in subsequent year, or Goods returned in subsequent year), and vice versa, as desired. Similarly,
Materials Delivery Notesin Tally Accounting Software: Normally, Sales Invoice is created at the time of delivery of materials. However, sometimes Delivery Notes are created materials delivery without creating Invoice. This is one way accounting entry, causing Reduction of Assets (stock of materials), without creating Asset (Debtors). So, the Delivery Note remains open (pending) to be linked with Pre-Invoice (Invoice that Affects Accounts but does not affect Inventory). So, Stock Value are not properly updated. In such case, stock valuations may be unreliable, till the Delivery Note is fully and properly linked with unlinked Invoice. In the reverse way, Pre-sales Invoice may be created without materials delivery, generating a Tracking Number, Such Pre-Sales Invoice are to be adjusted fully with delivery note having pending tracking number.
Materials Receipt Notes in Tally Accounting Software : Normally, Purchase Invoice is entered at the time of receipt of goods. However, sometimes Materials Receipt Notes without entering Purchase Invoice. This is one way accounting entry, causing Increase of Assets (stock of materials), without creating Liability (Creditors). So, the Note remains open (pending) to be linked with Purchase Invoice. On linking, both the Inventory and Accounting entries are complete. Materials Receipt Notes are often entered for the quantity of materials received, without specifying value. So, Stock Value are not properly updated. In such case, stock valuations may be unreliable, till the pending Materials Receipt Note is fully and properly linked with unlinked Purchase Invoice. In the reverse way, Purchase Invoice may be entered without materials delivery, generating a Tracking Number. Such pending Purchase Invoice are to be adjusted fully with Materials Receipt note having pending tracking number.
Materials Rejection In Notes in Tally Accounting Software : Sometimes, sold materials are returned by Buyer for some reason. The returned materials may be good for resale, or may be damaged / defective. These are recorded as Credit Note, through affecting Inventory (Stock gets increased) and Accounts (Customer Ledger, Sales & related Accounts). However, sometimes, only Rejection In notes are created, through a tracking number, which affects Inventory but not Accounts. Later on. Such pending Rejection Note linked to pre-Credit Note. On linking, both the Inventory and Accounting entries are complete.
Accounting of Returned Materials by Customerin Tally Accounting Software: Tally does not differentiate the condition of customer returned materials by customer to supplier, whether it is good and re-saleable like a normal product, or it is defective to be sold at discount, or repaired / refabricated for re-sale, or returned to customer again after repairing / refabrication, or scrapped. On recording the receipt of customer returned material, this stock of the material increases. So, it is advisable to create 2 Rejection In voucher types. One for good resaleable items, and the other, for Goods which directly cannot be resold. In case of Goods non re-saleable goods, both stock, customer & supplier accounts are to be adjusted through appropriate Inventory voucher and Accounting Voucher. The process may be quite complicated depending on nature of transactions and actions.
Accounting of Returned Materials by Supplier in Tally Accounting Software: Return of goods back to supplier may create complex scenario and chain of transaction vouchers. The buyer returning the materials would raise a Debit Note on the supplier for materials returned. The supplier, on receipt of materials may create a credit Note, for full amount as per buyers Debit Note, or reduced amount depending on situation and term of trade. The supplier may reject the goods returned, if the terms of trade is so (non returnable goods). If the supplier finds the goods defective, it may repair and resend the goods to buyer. The supplier may scrap the returned goods if unusable. In such case, the Inventory Vouchers, Accounting Vouchers, and their adjustment may create a complex chain of transactions.
Production Management in Tally Accounting Software
Bill of Materialsin Tally Accounting Software: For in-house manufactured / assembled Products, Tally offers a standard Bill of Materials (BoM), detailing the materials requirements (consumption) of the Item to produce a standard lot quantity. BoM also helps to compute standard cost of Item Produced, based on the cost of materials consumed. Materials consumption variation may be reported based on specified stock valuation method. Actual consumption vis a vis BoM computed consumption, may be tracked, for materials control. Multiple Bill of Materials may be created for production with alternate materials with some variation. BoM helps to quickly create manufacturing Journal for production of manufactured goods, bye products (if any) and corresponding consumption of Raw materials.
Manufacturing Journal in Tally Accounting Software : Manufacturing Journal, a kind of Stock Journal, is record of Items produced and corresponding consumption of Items to produce the Item. It is used for manufacturing / Assembling activities. The quantity of stock increases in respect of Items produced, and the quantity of stock reduces for the Items consumed, as per the Manufacturing Journal. However, Manufacturing Journal is over simplification of manufacturing process. It is based on simple premise that Consumption Item are fed in the Production system in one shot, and the manufactured products come out in one shot. The manufacturing Journal updates the stock of Produced Items and Consumed Items simultaneously. In real life, Consumable Items are put into production line first. The items may be put is several stages or steps. Similarly, the final product or bye product may come out in several stages. So, normally Stock Journal Vouchers may be more suitable for multi stage Production process. A manufacturing process uses Machine Resources, manpower resources, and common services. Tally provides oversimplified input arbitrary figures of other cost and overhead cost. There is no system to record various resources used for each manufacturing cost and compute, direct and indirect allocated / apportioned cost. Tally offers a crude way of managing manufacturing process, to keep Inventory record of Raw Materials and Finished Products, from manufacturing / Stock Journal vouchers.
Job Cost in Tally Accounting Software : Tally enables to define unique Projects, Products, referred as JOB, accumulate all costs and revenue related to the Job. Job Costs use Cost Centre for allocation of Cost & Revenue and compute Job wise Profit / Loss. So, Cost Centre must be first enabled for Job Cost. Job cost is used for products manufactured / assembled/ constructed as per customer order. It provides process for issue of materials for job, charge expenses to Jobs and reports tracking Job Cost & Profit. Using Stock Journal Voucher Class, common expenses / revenue may be allocated to multiple Jobs.
Job Work in Tally Accounting Software : Apart from producing in house Products / Jobs, Tally also offers to take up Jobs awarded by Third party. Report Layout and Contents Customisation in Tally Accounting Software: However, using the Configuration options, you may be able only to customise the contents of report. However, you can not change the layout or place of Data Items in the report. So, in documents like Order, Invoice, Delivery Notes, etc, to use pre printed stationery, you have to set your contents as per Tally Format. You can not add new data items, columns etc. So, customisation of report is limited to inclusion / suppression of Items / details only.
