Apart from that, Third Party specialised Data Import tools enable hassle free process to integrate data from various external resources (like bank statements, e-commerce platforms, and internal spreadsheets) into Tally, without manual data entry

Operational Steps of Data Import into Tally Prime
Data Automation involves mapping Excel/PDF fields to Tally’s structured accounting records, to transfer data speedily. Modern AI-based tools can even read, interpret data elements, even from scanned images of Invoice, Bank passbooks, PDFs and convert them into Tally-ready vouchers.
Data Automation Tools : Various data input automation tools are available in market to import data from structured and unstructured data sources into Tally Prime 7. We explain the basic process of such automation tools.
- Preparation of Data: Clean the spreadsheet or PDF so that Data of all key fields (like Invoice number, Date, Ledger name, amount, GST details etc) are clearly identified and consistently defined. Remove blank rows and duplicate entries before starting
- Tool Installation and Connectivity: Install the required Tally Connector (a desktop application) provided by automation platform. Ensure TallyPrime is open with the correct company loaded for the connector to establish a link.
- Syncing Masters: Before importing, perform the Sync Master operation to ensure the automation tool recognizes the updated data of Account Groups & Ledgers, Stock Groups & Stock Items, Voucher types etc in Tally company.
- Field Mapping: Match the columns in Excel file to the specific fields in Tally (e.g., mapping “Party Name” to “Ledger Name”). These mapping templates may be createdfor recurring use.
- Uploading and Processing: Upload data file to the automation platform (like Taxone, Suvit etc,), processes the data, extract relevant information, and review.
- Review and Post: After review, rectification and validation of data, select the entries and transfter the data directly into Tally company data base.
Caution for Foolproof Import
- Passwords: Ensure that source files are not password protected, to enable the tool to open and access Tally data.
- Data Back Up : Take a full backup of Tally data before performing imports, to prevent data corruption or loss, due to error occurring during the process.
- Consistent Naming: Ensure that corresponding Masters Names, Field names etc., in source files exactly match Tally Data, so that the tools recognise data correctly.
- Date Format: Maintain a standard date format (e.g. DD-MM-YYYY).
- Header Rules: Avoid using special symbols like $ or @ in Excel headers as they can disrupt the mapping logic.
- Internet Stability: A stable internet connection is required for cloud-based connectors to sync data successfully with Tally.
Data Validation and Rectification of Mistakes
- Preview Before Posting: Through Data Preview, verify transactions, totals, and tax calculations before finalisation.
- Rule-Based Automation: Set up Mapping Rules for recurring entries. For example, a rule can be created to automatically assign the “Bank Charges” ledger used in Bank Statement, in statement description. This way, create rules for various recurring entries, with standard terminology in Bank Statement.
- Handling Exceptions: Check the error logs that identify mismatches, missing ledgers, or invalid formats.
- On-the-Fly Rectification: If a ledger or stock item is missing, some tools may allow to create the missing master directly from the import interface without interruption, or switching back to Tally.
- Undo Feature: Some tools provide an “Undo Posted Entries” feature, allowing deletion of duplicated or wrongly posted vouchers.
Data Import from varied formats from varied sources
Data Import from structured data like Excel Sheet, Tables, etc are bit easier as data mapping rules may be defined. However, Data from varied data sources and formats, like Sales / Purchase bills in PDF / email, Down loaded Bank statements, Stock lists from POS etc, from varied sources, are bit complicated and tricky.
- File-Based Data : Normally Masters with Opening balances are imported from Data in excel, xml, csv, format. Map Excel Sheet columns to Tally fields
- Document-Based Data : Normally Sales vouchers, Purchase vouchers, Bills , Receipts, etc, are imported from documents in PDF, Scanned copies, received in WhatsApp, email etc. First Convert data from such sources into Excel sheet and then import from Excel file into Tally.
- Automated Data Flow through Connected Systems : Normally Sales Data from PoS, Bank Statements, are imported, trough methods like Periodic imports, scheduled imports, API or connector based Import methods.

- Data Cleaning : Before data is imported into Tally, they are cleaned to remove inconsistencies, duplicates, wrong format etc,
- Data Validation : After import into Tally, Data validation is done to check if data match properly, like Trial Balances, control totals with summaries, GST Returns, Ledger Balances etc. through exception reports, Bank reconciliation, GST reconciliation, Voucher verification etc.
Key steps of Sales & Purchase Voucher Import in Tally Prime 7
Data fields differ according to Voucher Types
STEP 1: Prepare Data in Excel (Most Important Step)
A. Basic Excel Structure (common Columns for all voucher type) for Voucher Data is described below. Add relevant new columns for additional data Item fields.

STEP 2: Create Required Masters in Tally
Open Tally. Create all Masters before import

- Sales Ledger / Purchase Ledger
Take Data Back Up before Import
Step 3: Data checks in Excel before transfer of Masters.
- Party Ledgers and Stock Item Name must exist before transfer
- Master records should exist in Tally.
- Master Name spelling must exactly match with Tally Ledgers
- GST ledgers should exist (CGST / SGST / IGST)
- Dates are in DD-MM-YYYY format
- No blank rows
If the name doesn’t match or is not found in Tally, it will be rejected or wrongly posted.
STEP 4: Import Method in Tally
Excel to XML : To convert Excel data to XML. This is extra step, but ensures accuracy for large volume data
Direct Excel Import: This is direct and simpler step. Useful to transfer Masters and accounts vouchers.
STEP 5: Import Data into Tally
At Gateway of Tally, press Alt+O (Import) to get Import Menu
- Select Data type from the list (Master / Vouchers)
- Select Data Format (XML / Excel)
- Enter Tally Data File Path
- Select Voucher Type (Sales / Purchase)
STEP 7:Import the Vouchers
Click Import. Tally will show Successfully Imported Vouchers, Failed Vouchers (with error reason)
Common Errors
- Ledger not found
- Stock item missing

STEP 8: Verify Imported Sales / Purchase Vouchers in Tally
After import, check:
– Imported Voucher : Open Imported vouchers in Tally. Verify Party, Items, Tax calculation
– Reports : Check Day Book, Sales Register / Purchase Register, Trial Balance
– GST Reports: Check GSTR-1 (Sales), GSTR-2B / Purchase Register
STEP 9: Handle Duplicate, missing and Wrong Imports
In case of any mistake:
- Restore Data from Backup, or
- Delete imported vouchers, Correct Excel
- Re-import after rectifying data in Excel

Automated Data Import into Tally Prime 7- Practical Problems and Solutions
Importing high-volume sales data from e-commerce platforms
1. Data Preparation and Cleaning
E-commerce data (like Amazon, Flipkart etc). are normally downloaded as raw Excel Reports. These files contain high-volume data including invoice numbers, SKUs, transaction types (shipment, refund, or cancel), and multi-state tax breakdowns.
- Filter Data: Distinguish between “Shipments” (Sales) and “Refunds” (Credit Notes). “Cancelled” Ignore cancelled orders (as they are neither sales nor returns).
- Power Query Automation: For B2C Sales, use Microsoft Power Query to automatically sort raw data, create Annotated Party Groups (e.g., “B2C Customer – Maharashtra”). Separate ‘Sales’ from ‘Credit notes’ into different worksheets.
2. Bulk Creation of Masters
Before importing transactions, upload all Accounts Masters files (like Accounts Groups & Accounts Ledgers) and Inventory Masters (like UoM Master, Stock Group, Stock Item Master), with updated records. All masters involved in the transactions should be uploaded first.
- Stock Items: Use Bulk Upload feature to import thousands of SKUs at once. Map the “SKU” or “Product Name” column from Excel file directly to Tally’s “Stock Item Name” field.
- Ledgers: You have created or synced ledgers for:
- Sundry Debtors: For e-commerce customers.
- Sales Ledgers: Separate Sales Accounts Ledgers for each GST Rates
- Tax Ledgers: Separate GST Accounts Ledgers for CGST, SGST, and IGST for each Rates.
- On the fly Master Creation: Some Tools (like Suvit or Taxone) allows to create missing Masters in Tally, directly on-the-fly, from the import interface, during Import.
3. Mapping and Integration Methods
Import may be done through several alternate methods
- TallyPrime Mapping: Create a Mapping Template within Tally. Manually align Excel headers (like “Invoice Total” or “GST Rate”) with Tally’s fields. For recurring values like Voucher Type, “Specify fixed field value” (like as “Sales”) to save time (or specify manually).
- Specialized E-commerce Tools: Some tools (like Suvit or Quick2Tally) provide pre-built templates for Amazon (B2B/B2C), Flipkart. These tools auto-calculate GST based on the taxable value and Place of Supply, simplifying the process.
- AI-Driven Extraction: Some Tools (like Taxone) can even auto process data (like PDF bank statements or scanned invoices), by setting “Rules” (e.g., any entry with “Razorpay” be mapped to “URD Debtors”).
4. Pre Validation and Final Posting
- Sync Masters: Perform Sync Master operation before the final import, validating data that Masters are fully updated, no missing or no mismatch with Tally Data.
- Error Logs and Preview: Before Final Import to Tally, review the Import Summary and Error Logs. to identify missing info and other issues. Repeat the process until all errors resolved and rectified.
- Final Import: After error free validation, select the records for import into Tally.
Special Caution
- Data Backup : Always take a full backup of Tally data before Import
- Data Format: Ensure the Excel date format is set to DD-MM-YYYY and there are no special symbols like “$” or “@” in the headers.
Creation of Party Ledger Masters using GST Numbers only
GSTIN (GST Identification Number) as a unique key for each GST Registered Dealer. The details are. stored on GST portal. Data in GST Portals are sacrosanct – final & official. The Data GST Portal must match with the data in Tally and import data. So, the safest method is to pick GSTN related data from GST portal. Some tools like (Suvit or Taxone etc,) can pull GST related data (like Party Name, mailing address, state, registration type, PAN etc, for each GSTIN) from GSTN Portal, directly into Tally-ready data format.
Key Operational Steps
1. Prepare a Minimalist Excel Sheet: Create an Excel file with all Part Master, including GST related columns. Enter GSTIN of Parties in respective column. Leave all other fields (like Address, State, Pin Code, PAN etc), as blank.
2. Upload to the Automation tool: Log in to the tool (like Suvit). Through respective Data Entry Automation option in the tool, and select Ledger section. Upload the prepared Excel file with correctly filled up GSTIN.
3. Accounts Grouping: Assign respective accounting group (such as Sundry Creditors, Sundry Debtors or Sub Groups and Bulk upload data from Excel.
4. AI Data Fetching: On file upload, the software retrieves the Party Name, Mailing Name, Registration Type (Regular/Composition), PAN, and full Address using GSTIN, from the GST portal.
5. Sync to Tally Prime: Verifying the Party details in the preview. Click “Send to Tally“. Ensure the Tally Connector is running and the correct company is open.
Data Validation and Accuracy
- Real-Time Verification: Because the information is pulled directly from the GST portal, the data is accurate and reflects the official government records for the business.
- Masters Syncing: Perform the Sync Master operation in automation tool before importing, to ensure existence and accuracy of Master Records in Tally.
- Error Logs: If a GST number is invalid or inactive, the system will highlight these as exceptions or errors in processing log. Rectify before Data Import.
Importance Notes
- Accounting Groups: While the GST portal provides the identity of the party. Manually define Creditor (supplier) or Debtor (Customer) within the tool, before the final sync to ensure proper accounting.
- Internet Connectivity: These tools fetch data from external government portals and sync with Tally, via a cloud connector. Ensure stable internet connection.
- Backup: Keep backup of Tally company, before imports to safeguard against any errors, data miss or duplicates during Import.
Importing Bank Transaction data from scanned Bank PDFs into Tally Prime
OCR & AI Automated Data Extraction
Various business documents used during commercial transactions, like Bank Pass Book, Invoices, Orders, Price List, etc. These documents are created by business counterparts in their own format. Important Transaction info are also exchanged through email, WhatsApp messages and other digital communication means. Reading data from such widely varying documents and sources, are tricky and challenging.
Optical Character Recognition (OCR) can read Handwritten, paper printed, scanned Documents, PDF, JPG and all such others) and put into computer readable text. AI imparts intelligence to understand the meaning of the data read from source documents and digital files.
Various Automated Tools use these features (OCR & AI) to extract data from such unstructured and varied format, to avoid manual typing into the Accounting Application.
AI Tools to convert varied data in proper Accounting Format
Some AI-powered automation tools (like Suvit, Taxone, EazyAUTO4 etc), convert unstructured data into Tally-ready voucher entries.
Practical Operational Steps
- Tool Setup and Connection: Install the Tally data automation application on local system. This desktop utility links Tally software with the automation platform’s cloud or local interface.
- Sync Masters: Before importing, Sync Master. The automation tool fetches all Tally master records to correctly map the transactions from uploaded document (.e.g Bank Transaction from Bank Pass Book) to respective accounts.
- Rule-Based Mapping: Set up Mapping Rules for accuracy. For example, you may create a rule that says whenever the description contains “Razorpay,” it should automatically map to the “URD Debtors” ledger in Tally. Like that, map all fixed keywords to respective Ledger Accounts. If the narration is properly styled, the system will post to the respective ledgers accurately.
- Intelligent Learning: These tools are “trained” over time. When a ledger is linked to a specific transaction description, the AI tool remembers this for future statements, subsequent import become faster and more accurate.
- Review and Validation: Preview the extracted transaction to cross verify against the original source document.
- System-Assisted Error trapping: An error log is generated showing missing or unmapped accounts or data, invalid formats, or other kind of mismatches.
- Duplicate Detection: The tools detect duplicate entries by cross-checking existing transactions in Tally before posting new ones.

- Security: Some tools, may enable data stored in local computer and not shared with Cloud server, as security measure.
- Backup: Take full backup of Tally data before bulk import, so that you may restore original data if something goes wrong in Data Import.

Method 1: AI-Powered Automation Platforms
Using Tally Connector platforms (like Suvit, Taxone, EazyAUTO4). Itis the most effective method for unstructured scanned PDFs and images, as these tools use AI to “read” the document and suggest the correct accounting treatment. The operation process of each such tools may be little different from each other.
Operational Steps:
- Install Tally Connector: Download and install the desktop utility provided by the platform (e.g., Suvit, Taxone) to link local Tally company to the web interface.
- Sync Masters: Perform a Sync Master operation to load Masters in Tally, into the tool’s memory.
- Upload Unorganised Documents: Upload scanned PDFs, JPEG images of invoices, or bank statements.
- Define AI Mapping Rules: Instead of manual mapping, set “Rules.” For example, tell the AI that any invoice containing the word “Amazon” should be posted as a “Sales Voucher” under the “Sundry Debtors” ledger, and repeating keywords like that.
- Review Side-by-Side: The platform’s user interface normally provide a split-screen view showing the original document next to the extracted data for validation, for operational ease.
- Direct Post to Tally: Once verified, select the transactions and click “Send to Tally.” The connector will push the entries directly into your company records.
Method 2: AI-Assisted Transformation (LLM/ChatGPT + Power Query)
This method is used when documents are extremely messy or lack a consistent format.
Operational Steps:
- PDF Merging: For operational convivence, merge small PDFs into one file.
- AI Data Extraction: Upload the (merged) PDF to an AI (like ChatGPT) and provide a detailed prompt, with instructions to related fields (like Item Name, HSN, Quantity, Tax Rate, etc), into a clean table format.
- Use of Power Query in Data Import
Power Query automates cleaning raw data, which often contains unnecessary columns, mixed transaction types, inconsistent formatting, etc, that would cause errors during a Tally import. Power Query allows to define a set of “Steps” (like a recorded macro) to automatically fix such issues.- Data Sorting and Filtering: It automatically filters and separates different transaction types, such as separating “Shipments” (Sales) from “Returns” (Credit Notes)
- Text Standardization: It can transform text to a standard case (e.g., “Capitalize Each Word”) for uniformity.
- Real-Time Fetching: It can access Web URL, Google Sheets, etc, to get updated data directly, eliminating file downloads to local computer.
- Column Mapping Preparation: Headers in the raw file may be renamed to exactly match Tally mapping template, to make it import ready final stage.

- TallyPrime Native Mapping
- In TallyPrime, go to Alt+O (Import) > Manage > Mapping Templates > Create, to create mapping Templates.

Method 3: Native TallyPrime+ Mapping Templates
Tally Prime provides built-in feature to handle varied Excel formats without needing a fixed sample template.
Operational Steps:
- Select Import Source: Press Alt+O (Import) and choose “Masters” or “Transactions”.
- Create Mapping Template: If the Excel file is unorganised (e.g., a dealer’s price list or Order sheet), select “Create“ under Mapping Templates.
- Field Alignment: Manually match the columns in Excel file to Tally’s data fields. Specify fixed field values (e.g. entries for all “Sales” vouchers) where necessary.
- System-Assisted Correction: Tally will generate error log for mismatched data (e.g., missing ledgers). These are to be rectified first.
Special Caution and Rectification
- Case Sensitivity: Automation tools (like Power Query) are often case-sensitive; ensure names like “James” and “JAMES” are unified before importing to prevent duplicate ledgers.
- Backup: Always perform a full backup of Tally data before initiating a bulk import to safeguard against corruption or mapping errors.
- Duplicate Detection: Set “Ignore Duplicates” option during import to prevent same voucher twice.
- Undo Feature: Some tools (like EazyAUTO4) offer “Undo” feature to delete accidentally posted or duplicated vouchers.
Automated GSTR 2A/ 2B reconciliation
GST portals contain properly classified transaction data. Automated AI tools can fetch relevant data from GST portals through GSTIN, and automate GST reconciliation to perfectly match with Portal Data

- Third party Tools: Several Third Party tools use AI to streamline GST Reconciliation process:
- Taxone : It is a fully automated AI tool to handle GSTR-2B reconciliation, requiring minimal data input, can process transactions with accurately, to produce filing ready output.
- Quick2Tally: It features a dedicated GST Reconciliation module to auto-fetch 2A and 2B data directly from the GST portal using a GSTIN. It can do invoice-wise and party-wise reconciliation, smart invoice matching, and generate supplier-wise reports.
- Suvit: AI accounting software, automating various data entry tasks and reconciliations
These tools provide real-time updates and logs to identify any errors during the import or reconciliation process, to produce correct out put reports.
Purchase Voucher data import without manual typing
Purchase voucher is external document created by sellers. So, they vary in format and contents, making automated data import most challenging.
In Tally Prime 7, there are no built in native tool to perform the tasks. It requires integration of third party AI tools like ChatGPT and automation platforms such as Suvit, Taxone etc, with Tally Prime 7.
Essential steps to import data from suppliers PDF invoice or scanned images, into in Tally Prime, avoiding manual typing, are suggested blow:
- Set Up
- Extract data from Invoice in PDF and scanned image of printed invoice,
- Map data with Tally
- Import data in tally
- Preview data, edit mistakes and blank data fields.
- Save voucher data in Tally
Set Up
- TallyPrime is a desktop-based software. Most AI automation tools are web-based. So, first establish a connection between them.
- Download and install the Tally Connector (provided by the third part AI tool), which acts as a bridge to flow data directly into Tally.
- Open TallyPrime, and then select the company, and Sync Masters so the AI tool can recognize masters, voucher types, ledgers accounts, Tax types, stock Items, Unit of Measure and other Masters.
Extract Data from Invoice (PDF or Scanned Image)
- If there are numerous invoices, it will be convenient to use a utility like salvpdf.com to merge separate PDF files into a single document to simplify the extraction process.
- Upload the merged PDF or scanned image to ChatGPT.
- Write appropriate Promptin ChatGPT to extract essential data, such as Item Name, HSN code, Unit of Measure, and GST rate—into a structured Excel-ready Table.
- Download this extracted data from ChatGPT as an Excel file for the next phase.
Map Data with Tally
- From the automation platform (like Suvit, etc,), Bulk Upload “Purchase” or “Items”, from the ChatGPT generated Excel File.
- Perform Header Mapping by linking the Excel column headings to Tally’s data fields; for example, map “Item Name” from Excel to “Name” in Tally, and “Under Group” to Tally’s “Under” field. This process may slightly vary between the automation platforms used.
- Map tax-related fields such as GST Applicability, HSN/SAC, and Taxability Type to ensure compliance accuracy.
Import Data in Tally
- Once mapping is complete, select the items or transactions you wish to import.
- Click the “Send to Tally” button within the AI tool.
- The Tally Connector will automatically begin pushing these entries into your open TallyPrime company, typically completing the process in seconds.
Preview Data, Edit Mistakes, update Data Fields
- Open the uploaded transactions in the AI tool’s dashboard to compare the original invoice and the extracted data.
- Verify that AI correctly detected quantities and prices by comparing them directly against the invoice image.
- Check for minor discrepancies, such as in tax calculations, rebates, round off differences etc, and manually adjust them as necessary.
- Check and fill up blank data fields manually before finalization.
Save Voucher Data in Tally
- After reviewing and editing, save the data into the “Saved” category within the AI tool.
- Perform a final push of these verified, saved records to TallyPrime.
- Confirm the new vouchers imported in Purchase Register or Day Book in TallyPrime,
- If still any error detected, edit the voucher in Tally.
